Booking general travel

  • Access the Booking Guide

Before you travel

  • Contact ISOS to request a pre-departure briefing specific to your itinerary.  Complete the ISOS travel briefing form and email it to Philadelphia@internationalsos.com .  ISOS will respond with your briefing within 72 business hours.  *Please Note:  ISOS pre-departure custom briefings are intended for Yale-related travel to higher-risk destinations.  For all other travel, please consider first downloading the detailed country reports available on the ISOS Online Member Center (enter the country name in the “search destination” tool) or create your own online briefing using TravelAdvisor, available in the My Travel Tools menu of the ISOS Online Member Center . 
  • Know how to contact ISOS if you need them while you’re away:  add the ISOS assistance app to your smart phone and download your ISOS ID card .

During your trip

Yale University provides ISOS Travel Assistance at no cost to all current students, current University employees, immediate family members traveling with University employees, and Emeritus Faculty. 

New: Immediate family members and/or dependents traveling separately are also automatically covered.  Separate enrollment is no longer required.

Coverage for Graduating Students

International SOS coverage will continue through August 31st following graduation.

For students traveling after graduation due to the award of a Yale-sponsored grant or fellowship, coverage will continue at no cost for the duration of the award.

Travel on University Business

Travelers on Yale-related business (including students traveling on study abroad programs or Yale-funded fellowships, doing research, attending conferences, or student organization travel) now have coverage for up to $250,000 in out-of-country medical expenses for treatment for injuries or illness that occur while traveling . This coverage includes 14 days of personal travel deviation. If a traveler extends his/her trip, either before or after the Yale business component of the trip, e.g., to tour the area or visit another country, this coverage will still apply up to a maximum of 14 days.  Please contact risk.management@yale.edu if you have questions regarding whether your travel is considered to be Yale-related business travel.

Note : This coverage does not apply to travel for 100% pleasure purposes (vacation, family business, etc), but evacuation and assistance services are still covered.

Note : This coverage does not apply if the traveler is traveling to his/her country of citizenship.

Note for students taking a leave of absence from Yale College:

ISOS Out-of-Country Medical Care Coverage is available only for students who are traveling on Yale-related business (including students traveling on Yale fellowships or other Yale programs) while on a leave of absence. Students on a leave of absence who are not traveling on Yale-related business do not have ISOS Out-of-Country Medical Care Coverage or coverage through the Yale Health plan.  Please contact  Yale Health Member Services  for more information and visit the International Toolkit for more insurance options.

Travelers Seeking Medical Coverage

If you are not traveling on Yale-related business, but you would like out-of-country medical care coverage, ISOS offers an additional option.

The enrollment process is performed directly with ISOS through the ISOS individual membership program and a 20% discount is available when using the Yale discount code 11B824535.

Travelers can choose to purchase (1) evacuation and assistance only; (2) evacuation and assistance and medical benefits; or (3) evacuation and assistance, medical benefits, and trip protection, however, please note that there is no need to purchase option (1) as you are already automatically covered for evacuation and assistance under the University’s master program.  

All travelers are also encouraged to review individual or government insurance plans available to you, particularly for ongoing treatment of pre-existing conditions, as the ISOS Out-of-Country Medical Care Coverage does not replace a comprehensive medical insurance plan.

Note :  The Yale Health plan only provides coverage outside of New Haven for urgent or emergency care needs. Student travelers who will be away from Yale for one semester or longer will not maintain coverage through the Yale Health plan, as students are not billed Yale fees for term(s) away from the Yale campus. How to file a claim

Yale travelers who did not open a case with International SOS may file a claim for reimbursement of medically necessary expenses directly with AIG.  Notice of claim should be provided no later than 60 days from treatment or as soon as reasonably possible.  Please download a copy of the claim form and complete the requested information.  Include copies of supporting documentation and submit the completed and signed claim form to AIG Claims:  ahclaims@aig.com . 

Supporting documentation includes itemized bills and copies of receipts for all medical expenses or prescription medications.  Documentation should also include claimant’s name, condition treated (diagnosis), description of services, date of services, and the charge made for each service.  If additional information is required to process your claim, the assigned claims examiner will contact you by phone or written correspondence.  Written correspondence will be mailed to the address provided on the claim form.  Additional details, including AIG contact information, are available on this overview document .

International SOS coverage automatically extends to the spouse (including same sex partners eligible for other University benefits) and legal dependents of University students and current employees whether they are traveling together or separately.

Note:  See limitations described in the Out-of-country medical coverage section above.

“Small Group” coverage is available for non–Yale affiliates, such as non-Yale chaperones, volunteers, or guides, who intend to travel with a University sponsored group.

A request for enrollment should be sent by the department, and the department will be charged for the coverage.

If you would like to enroll a non-Yale affiliate who is traveling with your Yale group, please complete this worksheet and return it to risk.management@yale.edu . Please choose evacuation/assistance only, or evacuation/assistance plus out of country medical expense coverage. Rates are shown on the worksheet.

Travelers requiring documentation to verify coverage to meet visa requirements may download the applicable AIG visa letter as follows:

Letter for international travelers on Yale business (including study abroad, research, and University business).

Letter for international travelers on personal/leisure trips :  you will need to contact your medical insurance provider (such as Yale Health) for verification of your medical coverage.

T o ensure full reimbursement, guests and university staff should utilize the more economical form of travel. Please review the summaries below for air travel, ground travel, and meals, and use this form to submit all receipts for reimbursement.

Guests travel to Yale by way of Tweed-New Haven airport in New Haven, CT, Bradley International Airport in Windsor Locks, CT, or JFK or LaGuardia airports in NYC, depending on flight availability.

  • Please book economy class tickets. Yale University does not reimburse the full cost of business or first-class travel.
  • If traveling to New Haven, taxis will be available to your hotel.
  • If traveling to Windsor Locks or NYC, we will arrange for your ground transportation.

Ground Travel

Guests travel to New Haven’s Union Station, located just a few miles away from the Yale campus.

  • Please book a coach ticket. Yale University does not reimburse the full cost of business or first-class travel.
  • Taxis will be available to your hotel or to campus.

Personal Vehicle

Personal vehicle reimbursement is at the rate of $0.58/mile, which covers all costs including fuel.

Meal expenses incurred during your travel to Yale are reimbursable.

All students and employees are covered by ​ International SOS for both business and pleasure travel. International SOS is not a medical insurance program, but provides international and domestic emergency medical, security and travel assistance anywhere in the world, including emergency medical evacuation and repatriation, emergency political and security transportation, natural disaster evacuation services, medical and travel assistance services and personal security services.

Yale University provides International SOS at no cost to all current students, current University employees, and immediate family members traveling with University employees. VENUE AND LODGING

The conference will be held on the Yale University campus at the Institution for Social and Policy Studies (ISPS) located at 77 Prospect Street in New Haven, Connecticut.  Conference meals and sessions will be held on the lower level of ISPS in classrooms A001 and A002.

All out-of-town guests will be housed at the OMNI New Haven Hotel at Yale located at 155 Temple Street in downtown New Haven near the Yale campus.  The conference hotel is a 0.6 mile/14-minute walk to ISPS.  LINK TO DIRECTIONS

Rooms have been reserved for the evenings of Wednesday, October 23 and Thursday, October 24.  All room and parking charges will be handled through a master rooming list and direct billed to our Yale account.

TRAVELING TO NEW HAVEN

ISPS will reimburse you for reasonable travel expenses (domestic/international airfare, rail, and connecting groung transportation) as outlined below.  Please save all original receipts to submit following the conference.  Should you have any questions about expense eligibility or travel policies, please do not hesitate to contact Megan Butler .

New Haven is in proximity to these airports:

  • Tweed New Haven Airport (HVN) is a convenient 10-minute taxi ride to the Yale campus and provides regional service on Avelo Airlines.  LINK TO SERVICE DESTINATIONS
  • Bradley International Airport /Hartford (BDL) is about a 1-hour drive to New Haven and is marketed as the “no hassle” alternative to the New York City airports. It is served by all major airlines and is reasonably easy to access from New Haven.
  • LaGuardia Airport (LGA)
  • John F. Kennedy International Airport (JFK)
  • Newark Liberty International Airport (EWR; has direct connection to Amtrak)

Travelers are expected to select the least expensive airfare within the main cabin class (e.g., economy, coach) that is consistent with business requirements.  Additional fees for checked luggage and seat selection within the main cabin class area are also allowed.  Generally, Yale University does not reimburse travelers for first-class travel, trip cancelation insurance, or refundable flight tickets unless an exception is approved in advance by the Yale Controller’s Office.

NOTE : New Haven is not the easiest place to get to by air.  If you have any questions about the best airport to fly into or about connecting ground transportation, please reach out to Megan Butler for suggestions.

Amtak Train Travel

Amtrak train service is available along the northeast corridor from Boston, New York (Moynihan Train Hall/Penn Station), Philadelphia, Washington, DC and points in between, to Union Station in New Haven.  Travelers using Amtrak train service should book train fare within the main cabin class (e.g., economy, coach) that is reasonably priced and consistent with business requirements.  Travelers are permitted, when applicable funding allows, to use business class, but not first class, train service.

NOTE : If you are flying into Newark Airport (EWR), the airport has a direct connection to Amtrak although you need to leave ample time allowance when scheduling connecting flights and trains.

Commuter Train Travel from NYC on Metro-North

Metro-North Railroad provides more frequent commuter train service between Grand Central Terminal in New York City and Union Station in New Haven.  Visit their website for times and fares.

There are also connecting shuttle bus services between NYC airports and Grand Central Station/Terminal.  See next section for more information.

Connecting Ground Transportation

If you are flying into Tweed New Haven Airport or taking a train into New Haven Union Station, you will find a queue of taxis waiting just outside to take you to your hotel or to the Yale campus (approximately 10 minutes from Union Station, or 15 minutes from Tweed Airport).

If you are flying into Bradley Airport or one of the New York City airports (LGA, JFK, EWR), options include taxi/rideshare services, airport shuttle services, private car service, or train service depending on the airport.  For a listing of connecting ground transportation options including airport shuttle services, please visit https://your.yale.edu/work-yale/campus-services/travel/air-travel/airport-shuttle .

If you choose to rent a car, Yale will reimburse for the rental fee and gasoline if original, itemized receipts are submitted.  Travelers should rent the most economical (compact or midsize) vehicle consistent with business needs and travel circumstances.  Please approve the car rental in advance with Megan Butler .

NOTE : The University’s automobile insurance coverage does not cover any outside consultants, independent contractors, vendors, visiting speakers, or anyone else who is not a student, postdoctoral fellow, or an employee of the University. These individuals or the companies that they represent must provide $1,000,000 of automobile liability and physical damage insurance to protect against accidents that can occur with the rental car while performing business for the University. This insurance can be provided via their own automobile insurance policy or by the companies that they represent or by purchasing the insurance from the rental car agency.

The purchase of additional automobile insurance from the car rental company is not a reimbursable expense.

Personal Automobile Travel

If you are driving to New Haven in your own vehicle, car mileage will be reimbursed at a rate of $.67 per mile (effective 1/1/2024).  Note that there is a limit on vehicle reimbursement of no more than the main cabin class airfare or train fare of a similar trip.

The OMNI New Haven Hotel provides on-site valet parking for its guests, and all conference parking charges at the hotel will be billed directly to our Yale account.

It is recommended that you leave your car parked at the hotel garage, and either walk or take a taxi/rideshare to ISPS because parking on the Yale campus is limited and on-street parking can be expensive.  If you must park on campus, please contact Megan Butler for options.

Local Ground Transportation

Taxi service in New Haven is available through M7 or Metro Taxi by calling 203-777-7777 .  Please call at least 20 minutes in advance of your departure time for pick up.

If you have a rideshare account with Uber or Lyft, those services are also available in New Haven as reliable sources of local ground transportation.

Please retain all taxi, rideshare, or airport shuttle receipts for reimbursement after your trip.

Walking between the hotel and conference site is also an option if the weather is nice.  The OMNI New Haven Hotel at Yale is a 0.6 mile/14-minute walk to ISPS.  LINK TO DIRECTIONS

Meals during travel will not be reimbursed for this conference.  However, we will provide meals during the conference, including:

  • Lunch and conference dinner on Thursday, October 24
  • Breakfast and lunch on Friday, October 25

Claiming Travel Reimbursement

Receipts may be sent directly to Megan Butler via email . Please submit receipts within 3 weeks of the conference end so that we can process your reimbursement in a timely manner.  Photos of your receipts, scanned images of your receipts, or receipts forwarded from an email or as an attachment are acceptable as long as the file/image is legible and includes the total amount paid and the last four digits of your payment method.

For your convenience, we are providing links to the following forms:

  • Form W-9 : If you are a U.S. citizen or U.S. resident alien, please return a copy of the completed Form W-9 including your signature and the date.  This form is necessary to create your payment record in the Yale system.
  • Supplier Payment Setup: ACH/EFT : If you would like to be reimbursed by direct deposit to a domestic bank account, please complete this form and return with supporting documentation (see section 3).  If you do not choose a direct deposit reimbursement, a check will be sent to the address you provide on your Form W-9.

  • Register your travel :  You will need your NetID and must use a Yale networked computer or Yale VPN.
  • Check your passport and visa requirements. 
  • Make a travel health appointment .
  • Read about your health insurance coverage .
  • Read the International SOS country report(s) for your destination(s).
  • If you are traveling to a higher-risk destination, consider requesting a customized travel briefing specific to your itinerary from International SOS:  complete this form and email it to Philadelphia@internationalsos.com .  *Please Note:  For all other travel, instead of a custom briefing please download the detailed country reports available on the ISOS Online Member Center (enter the country name in the “search destination” tool) or create your own online briefing using TravelAdvisor, available in the My Travel Tools menu of the ISOS Online Member Center .
  • Carry a physical copy of the International SOS card with you and install the TravelTracker app on your phone.
  • Take photographs of important documents (passport, visas) to bring with you.
  • Share your travel details with your Dean’s office or program office.  Provide a copy of your itinerary to family or friends as well.
  • Complete a travel self-assessment  that guides you through the steps needed to understand policies and laws that apply to and preparations for international travel.

During Your Travel

  • Use the “check in” feature of the TravelTracker app to record your location.
  • Continue to update the Travel Tracker app as your plans change.
  • Share travel plan changes with advisors, your Dean’s Office, family and friends when they occur so your contacts have the best information to reach you in case of an emergency.
  • Carry your charged cell phone with you at all times.
  • Be aware that you may encounter difficulty accessing certain technology services, including DUO (required for some Yale resources), due to new restrictions resulting from heightened concerns about cybersecurity . These restrictions are outside of Yale’s control.

As a Yale College student, you are automatically covered by  International SOS (ISOS) for global travel assistance services when you are more than 100 miles from your permanent residence.

ISOS provides 24/7/365 service, including:

FAQ: Study in Home Country Outside the U.S. Students who hold citizenship or have primary residence outside of the United States and will study abroad in their country of citizenship or primary residence may not have full access to ISOS medical and evacuation services. Other ISOS services remain available as needed, such as medical referrals, lost document assistance, and mental health services. Please contact [email protected] if you have questions about eligibility for coverage while studying abroad in your country of citizenship or primary residence.

Point: Before you go: Download, print, and carry your ISOS membership card . Be sure to keep it with you while you travel. Visit ISOS - Yale Member Site Save a picture of the ISOS card in your Google Drive or on the phone/device you will take abroad. Download the ISOS Assistance App . Tell your family about the ISOS service and send them the ISOS membership card so they have a copy. Inform your onsite study abroad program staff that you are covered by this service. Contact ISOS to discuss any health or security concerns related to your destination.

With the move to control discretionary spending in recent years, many companies have significantly reduced their travel budgets.  One opportunity to secure large gains in this space is by restricting business class travel, where the price difference for a single trip can be $4,000 or more.   Given that the most powerful executives are often frequent travelers, setting the policy can be difficult, and there often is a threshold when an employee can book their trip in business class.  And, since the majority of companies have a mix of local and global travel policies , creating policies that are consistently applied globally can be difficult.

Recently, a Peeriosity member from a large global company that didn’t permit business class travel wanted to understand the approach followed by peer companies, and also understand the mix of global and local policies for the travel process.   To find out, the member created an iPolling TM question and within 48 hours they had their answer.   

The poll results indicated that 78% of member companies allow travelers to book in business class with certain restrictions.  For 22% it is simply a matter of job level, and for 56% an approval threshold is set based on either the trip duration or the distance traveled.  Here are the details:

Results to the question about the scope of the travel policy were surprising, with 57% reporting that they have a mix of global and local policies, and just 35% reporting that travel policy is set and managed only on a global basis.   Creating a consistent travel policy not only improves the efficiency of the travel process, but it can also reduce complexity for the traveler, as well as ensure a proper balance between business need for travel perks and the cost of the premium services.

Here are examples of some of the additional comments from Peeriosity members that were added when they responded to these questions:

  • Previously, business class was open to all employees, regardless of status for flights longer than 9 hours.  This policy has recently changed to be based on the employee job level , plus the flight needs to be longer than 9 hours.
  • Business class travel is allowed when the total flight time of all segments of a one-way trip is at least 6 hours.
  • Approval for business class travel is based on the employee’s job level and the frequency of international trips.
  • Employees may use business class when the combined intercontinental flight connection exceeds 5,500 miles, or if the circumstances of the itinerary (e.g. multiple business stops) result in a fare equal to or lower than a coach.
  • Officers may fly first class where offered and, if not, business class.  All other employees must fly economy unless the flight exceeds a certain amount of time.
  • Business Class is permitted for flights exceeding 5 hours, except when traveling within North America (the U.S., Canada, and Alaska), Mexico and Central America, or between the U.S. and the Caribbean.
  • Business travel is permitted for VP-level employees traveling on international nonstop flights lasting 10 hours or more.
  • We allow business class for travel over 8 hours. For trips over 12 hours in length, we allow travelers to downgrade to economy class for a one-time cash payment to the employee of $1,500 (before taxes).
