Tour guide systems are suitable for versatile use: 4 applications scenarios

Customers often call us and roughly know for which scenario they need a solution. During the conversation it becomes clear that the customer does not really need a fixed installation or a traditional portable PA system . Instead, they need a tour guide system. Many installers and expert planners are often surprised because they have always underestimated the performance of a good tour guide system .

Many newcomers are surprised that some tour guide systems are capable of bidirectional communication.

It is also possible to use our tour guide systems for wireless communication with each other, instead of hand-held radios . Please find listed below 4 different application scenarios.

1. Tour guide systems for communication between coach and athlete

Trainers for equestrian sports are more frequently using tour guide systems. Trainers and students stay in contact via small wireless systems. This does not only work in equestrian sports but in all kinds of sports where the trainer has to observe and instruct the student from a distance. Another example would be track cycling. A trainer could also instruct an entire team with the transmitter of a tour guide system.

Please note the following:

If you are using a tour guide system in sports, you should be able to attach it to your belt or clothes or store it in your clothes. For this purpose, a lanyard is not practical because athletes move around a lot. You should also make sure that the athlete is able to operate the tour guide system almost blindfolded. Thus, the system should have large switches or potentiometers, i.e. it should be easy to operate, even with gloves on. Also pay attention to the operating range of the tour guide system. What is the maximum distance between athlete and coach?

2. Tour guide systems for translation at international conferences and lectures

At multilingual conferences, a tour guide system can transmit live translations to respective listeners.

The procedure will be as follows: the primary language at the conference will be German. The German speaker transmits his or her presentation in the normal way to the PA speakers in the hall using a microphone at the speaker's desk . International guests will become receivers of a tour guide system, the interpreter a transmitter .

Thus, translations can be done live and in a flexible way. This is because an interpreter can send the translation to any number of recipients via a tour guide system. The user is not linked to permanently installed PA technology and can pass on the transmitter and receiver as required. You can of course also use stationary transmitters as an alternative. The tour guide system attenuates the noise level in the room using headphones.

Please note: think about how many transmitters you need to use in parallel. Four transmitters and, therefore, four translators are often possible in the frequency range 863 MHz-865 MHz which is licence-free. However, it would be the maximum amount. If several speakers are using one tour guide system to transmit their speech during a discussion, a hand-held microphone may be useful. The presenter can pass this on to the next speaker more easily than a clip-on microphone or headset.

3. Support in case of hearing loss

A tour guide system supports people who need a different volume level during the PA application. In case some listeners have loss of hearing, a tour guide system can also help here. This can be in church or at lectures or conferences. You can use regular speakers for the main sound transmission and give a tour guide system to people with a hearing loss. People who need assistance can use the tour guide system to choose their own volume level, independent of the other listeners in the room.

If you need to implement a wireless PA system because the building is listed or cables are not an option, a tour guide system can be a useful alternative.

Please note the following: in case of hearing loss, a tour guide system can assist you in two ways. Firstly, through a louder speech transmission. Secondly, you could connect a portable induction loop to the tour guide system. This can simply be inserted into the jack connection of the tour guide's pocket receiver. The signal of the induction loop is transmitted directly to the T-coil of the hearing aid.

4. Tour guide systems for wireless audio streaming

The additional line input of some of the transmitters of our tour guide systems provides an additional option for application: wireless audio streaming and speech transmission to the PA system. One example is a mixer which is connected to active speakers. If cables have been forgotten or cabling is not possible, you can also use a tour guide system. The transmitter of the tour guide system is connected to the sound source, the receivers to the active speakers .

For this purpose, you should preferably use an analogue tour guide system due to the better sound. For a mono transmission, e.g. background music, one transmitter-receiver path is sufficient. For a stereo transmission, two transmitters and two receivers are required.

• Half-duplex or full-duplex: recipient can answer the guide and ask questions.

Tips on how to use your tour guide system

A tour guide system is a portable wireless communication system that allows a person to speak to a group of people. A system consists of a transmitter with a microphone for the presenter, receivers with headphones for the audience, and (often) a charger storage case. Tour guide systems are used for factory/plant tours, open air tours, museum visits and anywhere else it is difficult for a person to speak to a group whether due to noise or distance. These versatile systems are also used for simultaneous interpretation, silent conferences, audio description, hearing support and command training.

Before the tour

Familiarise yourself with the equipment.

Check how many people are attending the tour and make sure you have sufficient receivers charged ready and set on the same channel as your transmitter.

If more than one tour is taking place within the same environment, check the transmitters are set on different channels.

Tip: A quick and easy way to check if any other transmitters are currently being used on a specific channel (frequency) is to switch a receiver on first and see if it is receiving a signal. This can be checked by either connecting an earphone and listening for any interference, or visually by seeing if the blue signal indicator light on the top of the receiver is illuminated. If you can hear interference or the light is on, simply change frequency (by selecting a different channel) and repeat the above.

Plug your microphone into the transmitter and switch it on.

Distribute the receivers to the group. As you issue a receiver to each member of the group, switch it on for them, supply the earphone (or headphones), and explain where the volume control is located.

Tip: To give your guests something to listen to while you are getting ready (and stop them from removing their headphones and chatting!) you can play some music/pre-recorded commentary into the system. This can be done by connecting a media player or smartphone to the transmitter’s aux-in socket. This also gives the group confidence that the system is working. Always remember to mute your microphone when you do this, so you are not broadcasting your comments at the same time!

Before the tour starts you should carry out a brief speech test to ensure each group member can hear you clearly.

After the tour

Tour guide system tips: What headsets should you use?

A two-way tour guide system is a short-range radio system used to assist communication between tour group members. The tour guide speaks into a wireless microphone transmitter using a headset and the guests use wireless receivers with headsets to hear the message and talk back to the tour guide. The devices are usually recharged in a storage case.

Each transmitter and receiver (or transceiver) feature a headset socket and a volume control. The tour guide is always issued with a transmitter and a headset. A headset is a single device that comprises of an earphone/headphone and a boom microphone, enabling the tour guide to speak to and hear from the tour group.

The guests are issued with a receiver and either an earphone, headphones or a headset. Earphones and headphones allow the user to hear the tour group, however, they do not include a microphone. Therefore, the user must speak directly into the integrated microphone on the top of their device to speak to the group. If the guest is issued with a headset, the receiver’s internal microphone will mute automatically, and the connected headset microphone will take priority. This ensures the best possible sound quality as the microphone is always close to and at a constant proximity to the mouth.

The tour guide can often disable the talking rights of the guests, if required, to maintain control of the proceedings without being interrupted. 

To get the best results from your tour guide system and ensure everybody can hear, it is important that the most suitable headsets are used.

A wide range of headsets are available for the two-way tour guide systems depending on application and environment the headsets are to be used in. The most common types are -

Single ear headset

This lightweight headset type is very popular, low-cost, and ideal for quieter environments. The single earphone delivers the sound to one ear only, leaving the other ear exposed to hear potential hazards in the local area such as vehicles, machinery, or other people. The integrated boom microphone sits to the side of the user’s mouth ensuring every word is being ‘picked up’.

An alternative version of the single-ear headset is the over-the-head option which is more suitable for longer duration events where additional comfort and/or more secure design is required. These headsets have a band that sits over the head and often feature a rotatable boom and directional microphone.

Both types can be used on either ear.

Dual ear headset

These headsets have a boom microphone and two ear cups, to provide clear sound to both ears. Rotatable ear cushions on each cup and an adjustable headband ensures user’s comfort. The directional boom microphone is suspended to the side of the mouth to ‘pick up’ the voice over the unwanted background noise.

Tip: If the tour is to take place in an area that requires hearing protection e.g. a manufacturing site, then these headsets can be used over earplugs.

Noise reduction headsets

These heavy-duty headsets comprise of a directional boom microphone and cups that seal over each ear, providing excellent sound isolation and audio quality.

Different versions are available depending on whether head protection (e.g. a hard hat) is required.

How to Choose the Right Tour Group

Group size, participants’ age range, style of travel and budget are among the factors you should consider when selecting an itinerary.

Tour companies that offer multiday trips arrange most everything for you: lodging, sightseeing, food and transportation. But group size, style of travel and budget are among the considerations travelers should assess before picking a tour. Read on for tips.

Big group or small

Start your research by thinking about how many people you want to travel with and what your tolerance is for the social demands dictated by group size.

Smaller groups can move more nimbly and possibly see more. But they can also be more intensely social as you spend a great deal of time with the same people touring and dining.

Larger groups tend to require more time to get around, but they can also offer more social variety — for example, you can change up your lunch partners more easily.

“Large groups offer anonymity, allowing travelers to choose their level of interaction,” said Deborah Miller, a travel adviser and the owner of Edge of Wonder Travels Unlimited in San Francisco. “Conversely, smaller groups foster intimacy among travelers, guides and the destination itself.”

Look for age-appropriate trips

Think about the demographics of your travel party and consider matching that to a tour company.

Operators often segment their trips by age under the assumption that similarly aged people have more in common or prefer the same pace. Road Scholar , for example, caters to an intellectually curious 50-plus crowd.

On the other end of the spectrum, G Adventures offers a category of trips for “18-to-thirtysomethings” and Intrepid Travel has trips for 18-to-35-year-olds.

With their inherent age spans, families can be a tough demographic to fit into larger group departures, which is why companies tend to break up family offerings by age group.

The active tour company Backroads has three age segments for families, including trips for those with children 4 to 19, those with older teens and younger adults into their 20s, and those with children in their 20s and beyond.

“By definition, that creates somewhat of an age segmentation among parents, too,” said Tom Hale, the founder, president and chief executive of Backroads.

Go general or specific

A popular option for first-timers, a general tour will hit the highlights of a destination, like the Eiffel Tower and the Louvre in Paris or major sites in Tokyo and Kyoto in Japan.

Beyond the general approach, alternatives abound based on themes, styles of travel or hobbies.

Themed trips include a culinary tour of Sicily , a deep dive into literary England , Europe’s World War II battlefields and how women live in India .

In addition to topics, trips often revolve around the means of travel, such as going by train , on foot or by boat (a category that can be further segmented by size, from a cruise ship to a barge or a kayak ).

Tours can also allow you to pursue an interest like swimming or knitting in a unique destination.

Analyze tour inclusions

Once you determine where and how you want to go, prices will range from budget to luxury.

“For travelers on a budget, large group tours tend to be the best fit because it’s a great way to see major attractions at a lower price point,” said Cheyenne Schriefer, a travel adviser and the owner of All Travel Matters in Golden Valley, N.D.

But not all tours are built the same. To compare them, consider what they include.

For example, G Adventures has a 10-day hiking trip in Switzerland from $1,799 a person and a 10-day hiking trip in Portugal for $4,499. The latter is billed as a luxury trip, so the accommodations are pricier, but it also includes most meals, transfers and activities. The Swiss tour offers more basic lodgings, transfers, optional activities available for a fee, and fewer meals.

“Sometimes fewer inclusions are better than more,” said Pauline Frommer, co-president of Frommer Media, which publishes Frommer’s guidebooks . She pointed out that restaurants that can accommodate busloads probably don’t attract local traffic and that independent sightseeing allows you to “wander through local neighborhoods to get the feel of local life.”

Expertise of the guide or tour leader can also alter the price and the experience. You can expect to pay more for a tour led by a specialist, such as an Egyptologist guiding a group along the Nile.

Gauge your level of independence

Do you prefer to follow a strict schedule that relieves you from having to find, say, a restaurant for dinner? Or do you appreciate some structure — like knowing your hotel reservations are covered — but also want free time to explore independently?

Tour companies run the gamut. Before booking, read the itineraries carefully to find out if the schedule is tight or loose. If that is not clear, call the company to ask.

For truly independent travelers, self-guided tours offered by companies such as Inntravel , Exodus Adventure Travels and Macs Adventure make your ground arrangements and provide an itinerary to follow. Popular in Europe, these itineraries tend to be inn-to-inn walking or cycling trips that include luggage transfers.

“Self-guided travelers are independent but love the support of having a trip arranged for them, and they don’t want to hike with a big backpack anymore,” said Jasper Verlaan, the U.S. sales director for Macs Adventure.

Ask for recommendations

If you’re still unsure about putting down a deposit once you’ve done your research, ask the tour company if you may speak to a past client.

“Ask for references,” said Lynn Cutler, the senior vice president of travel for Smithsonian Enterprises, which runs the tour company Smithsonian Journeys . “We’ll find them a traveler who has done this trip in the past and put them in touch.”
